Add a Location and Assign a Global Location Number (GLN)

If your company has licensed a GS1 Company Prefix, you can use your GS1 US® account to create Global Location Numbers (GLNs).

GLNs uniquely identify locations or legal entities such as offices, warehouses, or trading partners and are commonly used to support business processes like ordering, shipping, invoicing, and data sharing.

This article explains how to add a location and generate a GLN

Note: If you’ve licensed a GS1 US GLN, follow the steps in Publish Your GLN Offering.

View the video or written instructions below for step‑by‑step guidance

1. Log in and navigate to My Locations, then the Create Location button on the right. The New Location window displays.

2. Assign the Administrative Parent.

Click the Choose Administrative Parent button.
The Select Parent Location window displays. For your first GLN, the Top Level GLN must serve as the Administrative Parent. As you start adding other GLNs, consider your organization’s “Location Hierarchy,” in which you select new GLNs as “parent locations.”

After you select the box for the Administrative Parent, click  the Add Parent button. This closes the Parent Location window.

3. Assign the GLN.

Keep the Let us Assign Your GLN button selected. GS1 US Data Hub selects the next available 13-digit GLN for the GS1 Company Prefix.
Note: if you have multiple GS1 Company Prefixes, click “Select” for the desired GS1 Company Prefix. “Selected” then displays for the prefix. If you already have a GLN assigned, click Choose a Specific GLN and enter this GLN in 13 digits.

4. Select the Industry and the Supply Chain Role.
This will be populated based on the Administrative Parent you selected. You can change the industry for a location/party, even after the GLN is published.

5. Select the GLN Type.
The GLN Type represents what is being identified. GLNs can be used to answer the question of “where” business-related transactions occur for physical and digital locations. GLNs can also identify “who” is involved within business-related transaction by identifying the party. Selections available describe locations and parties. Based on which GLN Type you select, specific fields will display, and these will be noted in the next few steps (e.g., GLN Type is Fixed Physical).

Note: After you publish this GLN, you can add other GLN Types to this single GLN. Learn how to add another GLN Type.

6. Click the Continue button to Display the Step 2 page.
Alternatively, you can click Save Draft & Exit to save  this GLN and return at a later time. Your selections will be  saved for this Draft GLN.

7. Enter the Location Name in the Name Field.
This is the name of the party, company, department, etc.

8. Enter the Address
If you're creating a Fixed Physical GLN Type, Check Street or Postal Address, GPC Coordinates, or GEO Shape.  If you check Street or Postal Address:
Enter your address in the “Address Line 1” field. The system will suggest addresses based on the USPS database. Select the correct address from the suggestions and it will be displayed.

Note: If the GLN Type is Fixed Physical, you cannot change Address Line 1 after you publish this GLN.  Address information is optional if GLN Type is Legal Entity or Function. If you do not want to enter an address, uncheck the box for Street or Postal Address.

9. Enter the Phone Number and E-mail Address
You must enter one of these contact fields. This data is shared with Location View/Use subscribers, but NOT with global users of the Verified by GS1 service. For the phone number, include the area code, and do not enter dashes.

10. Select the Business Attributes
You can select more than one of these business attributes.

11. Click the Publish GLN button.
After you publish, any GLN Types you have added will be made “Active.” By default, the GLN is now being shared with all other GS1 US Data Hub Location users.

For data completeness on Optional Fields see the drop down below for more details.

When you license a GS1 Company Prefix, your organization automatically receives a Top-Level Global Location Number (also known as your Entity GLN).

The Top Level GLN is displayed on the Manage Locations page. The address information is pulled from your GS1 US account information. The Top Level GLN can serve as the “parent” for the GLNs you will create in GS1 US Data Hub.

When you enter GS1 US Data Hub, you’ll see that the Top Level GLN is in the Published state, and the "Legal Entity" GLN Type has been assigned, and is “Active”. You cannot delete the Top Level GLN or make the Legal Entity GLN Type "Inactive." But you can make changes to this GLN.

Actions You Should Take:

When you visit GS1 US Data Hub for the first time, review the Top Level GLN before you start creating GLNs.

  1. Click the Top Level GLN. The Location Detail Record displays. The GLN Type for the Top Level GLN is “Legal Entity” and this cannot be changed. Click the Edit Location button.
  2. This Top Level GLN is assigned other default attributes that you may want to change, such as the "General" Industry. After you make any changes, click the Save button.

You can now assign this Top Level GLN as the "Administrative Parent" of the first GLN you add.

Additional GLN FAQs:

To create multiple GLNs at a time you can use the Import feature. For more guidance reference the Import Locations article.

If you’re part of the Managed GLN Program as a GPO or Wholesale Distributor, complete the following steps before creating new GLNs to avoid creating a duplicate:

  1. Search existing GLNs in Location View/Use
Match the State, City, Zip Code, and Address Line 1 against the current, active, shared GLNs in Data Hub.

    • Include abbreviations in Location Name 1 and Address Line 2 to help identify potential duplicates.
  2. Validate address components

    • Ensure the State and at minimum the 5‑digit Zip Code align with an existing record.
    • Compare Location Name 1 and 2 for potential naming matches.
    • Review Address Line 2 for additional customer name details that may indicate an existing GLN.
  3. If a GLN already exists - do not enumaterate another
Review the Resolve Duplicate GLNs article to determine the correct next steps.

This is the GLN with the Legal Entity or Function GLN Type that is directly above the organization/party, as part of the location hierarchy. The Parent Organization GLN can be the same as the Top Level GLN in the hierarchy.

The GLN Type represents what is being identified. GLNs can be used to answer the questions of "where" and "who" throughout business-related transactions.

In your GS1 US account, the GLN Type defaults to Active after you publish the GLN. If the GLN Type is no longer operating, you cannot delete it - but you can make it Inactive. Both Active and Inactive GLN Types can be viewed by global users within GS1 lookup tools.

Also, you can add multiple GLN Types to an existing party or location. View the Add a GLN Type article to learn more.
